Privacy policy
What we collect, and what we do with it.
We collect what we need to answer you and look after your home. We do not sell it, and we do not use it for advertising.
Effective September 29, 2026
This policy covers stillwaterhomemanagement.com and the messages, calls and emails you send to Stillwater Home Management, a home management company in Western North Carolina. “We” and “us” mean Stillwater Home Management.
What we collect
Information you give us
When you fill in the form on this site, call us or email us, we receive what you tell us. On the form that is your name, your email address, your phone number if you give one, the address of the home, and your message. Messages sent through the form are delivered to us by Web3Forms, a form delivery service.
Information collected automatically
The company that hosts this site keeps standard server logs. A log entry records the IP address of the visitor, the browser and device, the page requested, and the date and time. We use these logs to keep the site running and secure.
The typeface on this site is delivered by Google Fonts. When a page loads, your browser asks Google for the font files, so Google receives your IP address and basic browser details. Google says it does not use this to build profiles or to target advertising. You can read Google’s explanation.
What we do not collect
This site has no advertising, no analytics service and no social media trackers. We do not collect payment card numbers, Social Security numbers or other government ID numbers through this site.
How we use it
- To answer your question or request.
- To arrange a walkthrough and prepare a plan and price for your home.
- To provide the services you have agreed to, and to send you updates about your home.
- To keep records for billing, tax and insurance.
- To keep this site working and secure.
We do not send marketing email to people who have only made an inquiry.
Who we share it with
We do not sell or rent your information, and we do not share it for anyone else’s marketing. We share it only in the cases below.
- Companies that run our systems. Our website host, our email provider and the service that delivers form messages to us handle information on our behalf.
- Trades and vendors working on your home. When you approve work, we give the contractor what they need to do it, such as the address, a contact name and the details of the job.
- When the law requires it. We will release information in response to a valid legal demand, or to protect someone’s safety or our legal rights.
- If the business changes hands. If Stillwater is sold or merged, client records would pass to the new owner, who would be bound by this policy.
Information about your home
If you become a client, we hold information that is more sensitive than a contact form. This includes your address, the times you are away, keys and access codes, and photographs taken during visits.
- Photographs from visits are sent to you. We do not publish photographs of your home or use them in marketing without your written permission.
- Keys and access codes are used only by people who need them to do work you have agreed to.
- We do not tell anyone outside that work when your home is empty.
Your service agreement sets out these terms in full. Where it says something different from this policy, the agreement applies.
How long we keep it
We keep an inquiry for as long as we need it to answer you and to have a record of what was said. We keep client records for as long as we look after the home, and afterwards for as long as tax, insurance and legal requirements call for. When we no longer need information, we delete it or destroy it.
How we protect it
This site is served over an encrypted connection. We limit who can see client information, and we protect the accounts and devices that hold it with passwords. No website or business can promise perfect security. If a breach exposes your personal information, we will tell you as North Carolina law requires.
Your choices
You can ask us at any time to do any of the following.
- Show you the information we hold about you.
- Correct anything that is wrong.
- Delete your information, unless we are required to keep it.
- Stop contacting you.
These choices are open to everyone, wherever you live. To make a request, use the details on our contact page. We will answer within 30 days.
Cookies and tracking
This site does not set advertising or tracking cookies, and it does not follow you to other websites. If you use the light and dark switch at the bottom of the page, your choice is saved in your own browser so the site looks the same on your next visit. That setting is not sent to us.
Some browsers can send a “Do Not Track” signal. Because this site does not track visitors, it behaves the same way whether or not the signal is on.
Children
This site is written for homeowners. It is not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information, tell us and we will delete it.
Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change affects how we use information we already hold about you, we will tell you before it takes effect.
Contact us
Questions about this policy or about your information can be sent to Stillwater Home Management. Our phone number, email address and a contact form are on the contact page.
